Administrative Specialist | Core Support

Core Support Administrative Team
Full-time, hourly and non-exempt position

The Administrative Specialist will serve the TREKK team and clients in a variety of ways. This position will be responsible for overseeing the day-to-day operations of the office, including, but not limited to, managing office supplies, coordinating equipment and office maintenance, and effectively communicating with employees and clients. In addition, they will provide project and administrative support. We’re looking for someone who has excellent organization and communication skills, with the ability to efficiently multitask. This is an exciting opportunity to support one of TREKK’s growing markets.

Project Administration Responsibilities

  • Support project managers through preparation, review, revisions and issuance of monthly client invoices in a timely manner

  • Perform project setup and closeout

  • Support the maintenance of contract records and compliance

  • Maintain an orderly accounting filing system and comply with local, state and federal government reporting requirements

Office Administration Responsibilities

  • Perform front desk duties, greet visitors, answer calls, and direct external and internal clients

  • Monitor office supply levels and reorder as necessary

  • Assist with company events

    Required Skills/Abilities

  • Knowledge of bookkeeping and generally accepted accounting principles

  • Ability to maintain confidentiality with respect to financial status of organization and/or projects

  • Strong math, typing and computer skills, especially with bookkeeping software

  • Proficient with Microsoft Office Suite (Word, Excel and PowerPoint)
